Fwd: Catch up?

  1. Tom to Luanne9:12 AM

Can you find 30 min for Maya and me next week?

    Forwarded message from Maya (Northwind)
“Would love to catch up when you have a moment!”

  2. Luanne to Tom9:13 AM

On it: 30 minutes with Maya, sometime next week. I’ll let you know when it’s booked.

  3. Luanne to Maya, cc Tom9:13 AM

Hi Maya, Tom asked me to find 30 minutes for you two. Would one of these work? (London time)

    • · Tue, 3:00 – 3:30 pm
    • · Wed, 10:30 – 11:00 am
    • · Thu, 4:00 – 4:30 pm
  4. Maya to Luanne, Tom11:40 AM

The second one works for me!

  5. Luanne to Maya, Tom11:41 AM

Booked: Wed, 10:30 – 11:00 am London time. The invitation with a Google Meet link is on its way from Tom’s calendar.

How it works

Four steps, all by email.

The people you meet don’t need to install or sign up for anything. Luanne works in the email you already send.

Illustration of Luanne, smiling at her laptop beside a calendar with meetings blocked in.
  1. Step 1: Delegate by email.

Write to Luanne directly (“set up 30 minutes with jane@acme.com next week”), CC her on an existing thread, or forward one. She replies with a one-line acknowledgement, or one question if something is missing.

  2. Step 2: She proposes times.

Luanne checks your calendar, respects your working hours, buffers and focus time, and offers a few options to the other person in their time zone.

  3. Step 3: She handles the replies.

“The second one works”, “none of those, how about Friday morning?”, or silence: Luanne books, re-proposes, or nudges, and asks you only when she has to.

  4. Step 4: It lands on your calendar.

The invitation and Meet link come from your own Google Calendar. You get a confirmation; so do they.

Features

Everything between “let’s meet” and the invite.

Luanne does the tedious part of scheduling end to end, and keeps you in the loop without making you do it.

Scheduling

Book time without the back-and-forth.

  • Proposes a few times that are actually free (three by default), written in the other person’s time zone.
  • Understands a pick, a counter-proposal, “none of those”, a question, or “talk to my colleague instead”.
  • Re-proposes when nothing fits, and asks you only when she has to.
  • Books the meeting with a Google Meet link and confirms with everyone.

Re: Intro call

  1. Daniel to Luanne, Tom2:05 PM

None of those work, sorry. Could we do Friday morning instead?

  2. Luanne to Daniel, cc Tom2:06 PM

No problem. Here’s what’s open on Friday morning (New York time):

    • · 9:30 – 10:00 am
    • · 11:00 – 11:30 am
  3. Daniel to Luanne, Tom2:20 PM

    11:00 is great.

Follow-ups

Follows up so you don’t have to.

  • If someone goes quiet, Luanne sends a short, polite nudge after two business days.
  • She nudges at most twice, so nobody gets pestered.
  • Then she tells you, so a meeting never silently falls through.

Re: Time to talk?

  1. Luanne to Priya, cc TomMon

Hi Priya, Tom would like 45 minutes with you. Would Wednesday at 2 pm or Thursday at 10 am suit?

  2. Two business days later

    Luanne to Priya, cc TomWed

Just checking whether either of those times works. Happy to find others if not.

  3. A second nudge on Fri, still no reply

    Luanne to TomTue

Priya hasn’t replied to two reminders, so I’ve stopped nudging. Over to you on this one.

Your rules

Your calendar, your rules.

  • Works from your Google Calendar’s free/busy, inside your working hours, and leaves focus time alone.
  • Keeps a buffer between meetings (10 minutes by default) and a minimum notice (4 hours by default).
  • An explicit request like “tomorrow after 6pm” overrides working hours for that one meeting.
  • Sensible lengths when you don’t say: coffee 30 minutes, lunch or drinks an hour, dinner 90 minutes, an interview 45.

30 min · 3 options

Working hours 9–6

Control

You stay in control.

  • Only you can give Luanne instructions. Everyone else can accept, decline, suggest times or ask a question.
  • Reply “I’ll take it from here” to pause her on a conversation, or “cancel this” to drop it.
  • Pause, resume or cancel any task from its page in the app.
  • Every message she sends and every calendar change she makes is on the task’s timeline.
